Booking Terms & Conditions

City Coast & Country (hereinafter referred to as “The Company” acts entirely as a booking agent on behalf of the Property Owner (hereinafter referred to as “The Owner”). Once the holiday confirmation has been issued by the Company there is a contract between the person signing the form, or making a telephone or internet booking (who does so on behalf of all members of the party shown thereon) and the Property Owner. Receipt of a deposit does not constitute acceptance of a booking. The Company is a holiday property letting agency and takes great care in the selection of holiday properties but has no direct control over the care and maintenance of the property or of its contents within or outside the property.

Payment : bookings may be made over the telephone, by post or by our internet site, but must be accompanied by payment of the quoted deposit payable by Debit or Credit Card or by cheque. A booking where the deposit has been paid by cheque is not considered to be confirmed, until the cheque has cleared our bank. In the event of the holiday start date being within 2 calendar months of booking, full payment must be made at the time of booking; In all other cases final payment is due 2 calendar months before the commencement of the holiday. In the event of non-payment we reserve the right to cancel the holiday and no refund will be given. No accommodation can be provided unless full payment is received by the due date. Bookings are only accepted by the Company on the understanding that these Trading Terms have been read and accepted by the holidaymaker(s). Any payment made by credit card will be subject to a 2.6% surcharge, with a minimum charge of £2.00.

Cancellation : if you have to cancel your holiday for any reason, immediately telephone the Owner and the Company. Then on the same day send us by recorded delivery your booking acknowledgement. Your cancellation is effective from the date we receive your written notification. Your cancellation will be acknowledged by us in writing. You are liable for the full holiday cost. We will endeavour to re-let your holiday. If we are able to do so before you pay your balance, you will only loose your deposit. If we are able to re-let after you have paid your balance, we will refund the whole or part of the money (so that you only loose your deposit) up to a maximum of the rental charges we receive on re-letting.

Holiday period : holiday weeks normally run from Saturday to Saturday. If, however, the holiday week commences on the Friday, the holiday will be charged at the next day’s commencing price.

Short breaks : many properties accept short breaks, some at only certain times of the year. Any short breaks which overlap weekly price bands will be charged at the rate in which most days fall. In the event of an equal number of days falling in two different weeks, the higher rate will apply.

Special requirements : where you have special needs, such as a property suitable for the disabled or any other specific requirement, the Company will try to accommodate you. Such requirements must be specified at the time of booking, if we can satisfy your requirements we will give you written confirmation. We cannot accept responsibility for special needs, unless written confirmation if given by the Company. If you suffer from allergic reactions please take note that although certain properties are advertised as NOT allowing pets, we cannot guarantee that pets have never been in that property and can not be held liable in such circumstances.

Single-sex group bookings : most of the properties on our website are aimed at providing family holidays, single-sex groups and/or parties of young people may not be permitted. When this is the case we will warn you of this at the time of taking the booking if advised of your party makeup.

Alternative accommodation : Occasionally it may be necessary to make a material change to your holiday arrangements for reasons such as withdrawal of a property by an owner. In this event the Company will endeavour to offer you accommodation of a comparable standard and price. Should the only alternative property be of a higher price, the Company reserves the right to charge the difference. You have the right to decline to accept the alternative accommodation for whatever reason (e.g. price, unsuitability etc) in which case the Company will refund the full amount paid, but no other compensation would be payable. The liability of the Company is limited by, and cannot exceed, the amount paid by the holidaymaker.

Changing a booking : if you wish to change the dates of your holiday, once the confirmation has been issued, it can only be done with the agreement of the Owner. An administration charge of £50+VAT will be due. Confirmation in writing and your payment must be received by the Company before a revised booking confirmation can be issued. You cannot change properties only dates. A change of property will be regarded as a cancellation (see cancellation terms).

Property : the owner of the property or his representative is to be allowed access at any reasonable time during occupancy. The accommodation and its use are subject to the conditions and regulations of its owner(s) and to local and international law. Neither the Company nor the Owner shall be responsible for the death or personal injury to a holidaymaker, or loss, damage or accident to personal property unless this results from proven negligence of themselves or their employees. We recommend you take out personal insurance with cancellation cover.

Complaints procedure : in the unlikely event the Holidaymaker may have cause for dissatisfaction, this must first be made known to the Property Owner (or caretaker for the property) as soon as possible. The Holidaymaker’s contract for the use and occupation of the Property for the holiday is with the Property Owner – not the Agent. If the Holidaymaker is unhappy with the Property Owner’s response, the Agent on a goodwill basis as Agent only, may then assist in trying to resolve the complaint.

Responsibilities of the holidaymaker : the number of persons using the property is not to exceed the maximum number stated on the website. The Owner will abide by any restrictions as stated on the website and have the right to terminate the holiday and no refund will be due. Holidaymakers are responsible for leaving the property clean and tidy and for any damage, breakages or loss. Where the Owner takes a deposit from the holidaymaker, the Owner reserves the right to deduct the cost of any extra cleaning and any damage or lost items. Where holidaymakers abuse the property, the Owner reserves the right to terminate the holiday and no refund will be due. If you have particular requirements, it is your responsibility to satisfy yourself that a property is suitable before booking (see special requirements). In particular, if any special equipment or facility is offered at the property site then such equipment or facility is used entirely at your own risk, furthermore, it is entirely your responsibility to ensure that children are adequately supervised at all times when using such equipment or facility. If for any reason you consider anything unsafe you must notify the owner and refuse to use it.

Pets : holidaymakers are liable for all damage caused by pets. The maximum number of pets permitted is two, unless otherwise stated and they must be kept under proper control. Pets are not allowed upstairs, in bedrooms or on furniture and are not allowed to be left in the property unattended at any time. Holidaymakers are asked to remove all traces of pet’s occupation before leaving. The Owner reserves the right to charge for any cleaning, inside or out, made necessary by pets. If you take a pet to a property which does not accept them, or do not follow these regulations regarding pets, the Owner can refuse you entry and no refund will be due.

Overseas bookings : bookings from overseas can be accepted by major Credit Cards or Debit Cards, Bankers cheque, or by transfer to our bank account in pounds sterling. Bank of Scotland, Branch sort code 12-24-81 Account number 06866195. Please note a 2.6% surcharge will be made on all payments made by Credit Card.

For the purpose of the Data Protection Acts, all personal and other information and details collected by the Agent in the course of its business as a holiday booking agency, belongs to the Agent and will not be disclosed – except as necessary to the Property Owner/Caretaker when confirmation of holidays booked at a Property is given.
